1. Search and Select
Contact your assigned advisor from the Personal Housing department, who will accompany and guide you throughout the entire process. Based on your needs, they will indicate the most suitable properties for you, whether a room or a full dwelling, and will guide you so you can easily locate them through our search engine or through their bookmarks on the website.
For each property you can consult all relevant information, such as features, photographs, floor plans and videos, so you can evaluate each option with the personalised advice of your specialist.
Through the search filters you can select the type of accommodation or property that interests you most, as well as the location, size, price and other criteria, always with the support of your advisor, who will help you make the best decision.
It is important to take availability into account. Properties included in our Personal Housing service — flats and rooms — can only be reserved when they are available; it is not possible to block a property for a future date outside the enabled timeframes.
We work with an availability window of 30 or 60 days ahead, depending on the type of accommodation. For this reason, the booking button will only appear ready to reserve when the property falls within that window, allowing you to formalise the reservation up to 30 or 60 days in advance of the availability date.
For reservations on non-immediate dates, always follow the instructions of your Personal Housing advisor, who will inform you of the steps to follow and manage the entire process with you.
2. Reservation
Once you have selected the type of property, either from your personal housing advisor's proposals or through our website, complete the form with your personal details and check that you meet our client profile requirements as well as those corresponding to the type of accommodation chosen.
If you meet these requirements, confirm the check-in and check-out dates, read and accept the terms and conditions of the personal housing service contract and the reservation, cancellation and refund policy, legal notice and privacy policy, and make the card payment through our payment gateway, 100% secure and SSL certified.
To engage the personal housing service and reserve the chosen property it is essential to carefully read and accept the service terms and the reservation conditions, as well as pay the amount indicated during the reservation process as a deposit.
Once the online process is completed, you will immediately receive a confirmation email for the service contract, a payment confirmation email and an email with a link to register on our website and access your private area. From that moment on, we will begin processing the reservation of the selected property.
Validation of the service contract and/or reservation of the proposed and/or selected accommodation will take place within a period of between 24 working hours and 72 hours on weekends and public holidays. The website registration email will be sent within that same period, while the confirmation emails for the personal housing service contract or accommodation reservation and payment confirmation will be sent at the moment the online process is completed.
3. Documentation
After validation of the service contract, you will receive an email with a link to register on our website so you can complete the information and upload the required documentation to your private area as indicated in the email received:
Tenant: National ID, NIE, Passport or ID card, enrolment at an educational institution or employment contract and last 3 payslips, along with the latest tax return. Other documents may also be requested, such as a working life certificate or any other document evidencing financial solvency.
Joint guarantor (parent or legal guardian): National ID, NIE, Passport or ID card, permanent employment contract, last 3 payslips or bank statements, latest tax return, address, email and contact telephone number. As with tenants, other documents may also be requested, such as a working life certificate or any other document evidencing financial solvency.
Both students and young workers must sign and send to reservas@mundialrooms.eu the MundialRooms Service Agreement, the terms of which have already been accepted with the online service application. In cases where the Personal Housing service is contracted for apartments or full dwellings, documentation from all future parties to the tenancy agreement will be mandatory. When the reservation is for a group of students or young professionals, the person contracting the Personal Housing service must upload the same documentation for all members to the private area. Each property, whether a room in a shared flat or a full dwelling, has a single private area and access password, regardless of the number of tenants involved.
The maximum period for submitting the required documentation is five (5) calendar days from the date of receipt of the request email. If the documentation has not been provided after this period, the service contract and reservation may be cancelled in accordance with the Cancellation and Refund Policy. The advisory contract and reservation will be deemed cancelled, with no right to a refund of the amount paid as a deposit. Before such cancellation, the User will receive a reminder email about the approaching deadline, and if not addressed, a final cancellation email.
Important: Before starting the application, the User must ensure they meet the tenant profile requirements and can provide all required documentation. Any queries or clarifications should be sent to: reservas@mundialrooms.eu.
4. Reservation Confirmation
Once all documentation has been uploaded to the private area, you must click the "Documentation Review" button to start the rental viability assessment in accordance with the landlord's requirements.
A specialist advisor at MundialRooms may indicate to the User whether it is necessary to complete or adjust the submitted documentation.
The risk department will review the submitted documents and carry out a solvency and viability assessment. In the event of incomplete or insufficient documentation, an advisor will contact you to indicate the next steps. It is therefore essential that the contact details provided on the form are accurate and up to date.
Within approximately 24 to 72 working hours, you will receive an email notification with the outcome of the assessment:
If the documentation is approved, you will receive by email:
- - The definitive confirmation of the reservation of the chosen accommodation, whether a room in a shared flat, apartment or full dwelling.
- - A draft tenancy agreement and annexes will be available in your personal area for review and clarification of any queries.
- - Subsequently, the final documents for electronic signature through the 365 online signature service, along with instructions for payment of the outstanding amounts required to complete the contract signing process. If a guarantor is required, the guarantor(s) will also receive the corresponding document for electronic signature through the same online signing service.
If the documentation is not approved, you will receive a cancellation email for the application, and the process will proceed as set out in the General Conditions, including where applicable a full refund of the amount paid as a deposit for the services requested.
5. Check-in
Key handover and, where applicable, in-person signing of the tenancy agreement takes place at our offices at Paseo Infanta Isabel, 23 Local 3, 28014-Madrid, during opening hours of 09:00 to 14:00 and 15:00 to 18:00, Monday to Friday (except public holidays).
You must provide MundialRooms with your arrival information at least 72 hours in advance so that everything is ready at the time of check-in and to be included in the schedule to coordinate the key handover appointment for your chosen accommodation: room in a shared flat, apartment or full dwelling. Before your entry you must have made all payments: security deposit, first month's rent, fee for the contracted personal housing advisory services and, where applicable, any additional guarantee deposit. The amount paid as a deposit for our services will be deducted from the total fee for advisory services, accommodation search, administrative procedures or any other service requested. Payments are to be made by bank transfer to the account number provided by MundialRooms, and proof of transfer must be provided at the time of check-in. If a tenant wishes to arrange check-in outside of working hours, they must check the available times and our rates, and request this from their personal advisor at least one week before the arrival date.

The photographs and videos published have been taken by MundialRooms and reflect the condition of the property at the time of verification. These are homes, apartments and rooms in shared flats in Madrid, aimed at a young and multicultural environment — students and young professionals — with central locations and good transport links.
